Who we are

FocusPod is the trading name of Focus Pods Australia Pty Ltd, a private company registered in Australia (ACN 690 612 590, ABN 73 690 612 590). In these pages, “FocusPod”, “we”, “us” and “our” mean Focus Pods Australia Pty Ltd.

What we collect

• Contact and business details: your name, email address, phone number, organization, job role and, where you give them, your accounts payable contact and tax registration number.
• Project details: the pods and options you configure, the number of pods you need and your timeframe, delivery and billing addresses, site access information, purchase order numbers and anything you tell us about your space.
• Order and payment details: what you ordered, invoices and payment status. Card payments are processed by our checkout and payment providers. We never see or store your full card number.
• Communications: emails, form submissions, live chat messages, booking details, and phone calls. If you leave a voicemail, it is recorded and transcribed so we can respond. We do not record video walkthroughs unless we ask you first.
• Website and device data: pages viewed, links clicked, device and browser information, approximate location from your IP address, and similar data collected through cookies and analytics tools.

You do not have to give us personal information, but without it we may not be able to quote, deliver or support your order.

How we use it

• To answer your questions, prepare quotes, and take, deliver, install and support your order, including warranty claims.
• To send you documents you request, such as our procurement pack or specification sheets, and to follow up on your project.
• To prioritize our follow-up using the details you give us, such as pod numbers and timeframe. We do not make decisions about you by purely automated means that have legal or similarly significant effects.
• To send marketing, only where you have agreed. Every marketing email lets you unsubscribe.
• To run, secure and improve our website, and to measure our advertising.
• To keep records, prevent fraud, recover money owed, and meet our legal, tax and accounting obligations.

Where Singapore’s Personal Data Protection Act 2012 applies, we collect, use and disclose personal data for purposes we have told you about, with consent or another basis permitted by the Act. You may withdraw consent with reasonable notice; we will explain any effect on the services we can provide.

Who we share it with

We share personal information only as needed with the providers who help us run our business, and only for that purpose:

• Shopify, for our website, checkout and order records, and our payment processors.
• Klaviyo, for email; Formspree, for website forms; Cal.com, for walkthrough bookings; Zoho, for business email.
• Google and similar analytics and advertising services, subject to your cookie choices.
• Our manufacturing, freight, delivery and installation partners, who receive the delivery details they need to make, ship and install your pod.
• Our professional advisers, insurers, banks and debt recovery agents, where needed.

We may also disclose information where the law requires it, to protect our rights, or as part of a sale or restructure of our business. We do not sell your personal information.

International transfers

We are an Australian company and some of our providers are based outside Singapore, so your information may be stored or processed in other countries, including Australia, the United States and the country where your pod is made. We transfer personal data outside Singapore only in accordance with applicable PDPA transfer requirements, using measures that provide a standard of protection comparable to the PDPA unless an applicable exception permits the transfer.

How long we keep it

• Order, invoice and tax records: seven years after the order, or longer if the law requires it.
• Enquiries, quotes and document requests that do not lead to an order: up to three years after our last contact.
• Voicemail recordings and transcripts: up to twelve months.
• Marketing records: until you unsubscribe, after which we keep only what we need to respect your choice.

We may keep information longer if we need it to deal with a claim or dispute.

Your rights

Under Singapore’s Personal Data Protection Act 2012, subject to its exceptions, you may request access to personal data we hold about you, information about how it has been used or disclosed during the preceding year, and correction of errors. You may withdraw consent with reasonable notice. We respond as soon as reasonably possible; if we cannot complete an access or correction response within 30 days, we tell you in writing when to expect it. Contact our data protection team at sales@focuspod.sg. You may also approach the Personal Data Protection Commission at pdpc.gov.sg.

To make a request, email sales@focuspod.sg. We may need to confirm your identity first. There is no charge unless a request is clearly unfounded or excessive.

Cookies

We use essential cookies to run the website and checkout. With your permission we also use analytics and advertising cookies to understand how the site is used and to measure our marketing. You can change your choice at any time through our cookie banner or your browser settings.

Security

Our website is encrypted in transit, our checkout runs on Shopify’s PCI DSS compliant platform, and access to customer records is limited to people who need it. No system is perfectly secure, so please do not send card details by email. If a data breach is likely to put you at risk, we will tell you and the relevant regulator as the law requires.

Children

Our website and products are intended for businesses and adults. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy. The current version is always on this page, and we will tell you directly about any significant change that affects how we use information you have already given us.
